Event Tech · Community Platform

foundersfest.org

15,000 registrations. 35,000 automated emails. One platform built for the community that shows up.

foundersfest.org needed infrastructure to match their ambition: a platform to manage large-scale founder events end-to-end, from registration to post-event WhatsApp follow-ups. We built the registration system, email automation, and campaign tooling that let a small team run events at serious scale.

The starting point

foundersfest had outgrown Eventbrite. They wanted custom registration flows, sponsor-specific landing pages, multi-track ticketing, and the ability to run WhatsApp campaigns to segmented attendee lists: none of which fitted neatly into an off-the-shelf event tool. The team was small and not technical, so whatever we built had to be operable without developer involvement. The biggest risk wasn't the build: it was the event itself: if the platform went down during peak registration, they'd lose attendees and sponsor credibility.

What we built

We built the platform in phases, starting with the registration and ticket flow because that was the highest-risk surface. We stress-tested it against projected peak load before launch. The email system was built on top of a transactional provider with a custom template engine so the team could edit emails from a UI without touching code. WhatsApp campaigns were managed through a broadcast layer connected to the attendee database: the team could segment by ticket type, session interest, or city and send targeted messages in minutes.

What changed

foundersfest.org has handled over 15,000 registrations across events, with 35,000 automated emails sent and 15,000 WhatsApp campaign messages delivered. The team now runs events that previously would have required an external agency, using a platform they fully control. Sponsor integrations, custom registration flows, and post-event follow-up sequences are all managed without developer involvement.
